Batch Upload User is a feature that will allow the batch upload of a list of employees, so that additional employees can be added with more ease.
This is possible by completing a spreadsheet in a prescribed format, which is provided in this feature.
As this is a feature that is available in the admin module, it will only be accessible for those with the Digital Champion status or that admin permission.
The Digital Champion will go to the admin module - Employee Setup page.
- They can select + Add New.
- Select Batch Upload
- Batch Upload window displays "Download the template & Drop it here", shown here:
- Select Download Template.
- The CSV Template displays for the user to fill the information in. It includes a sample line so the user knows which format to use (this line will not upload as an employee/user). The fields are:
- Name (required field) (split into first and last)
- Work Email (required field)
- Address - split into multiple fields
- Phone Number
- Date of Birth
- Gender
- Save as a local document (this is the template) and Name it.
- Once the template is completed, use Browse link to browse their own files (if they saved it to their local desktop to upload) or drag and drop.
- When the user uploads the file back, the system should recognize the information inside the file and display it as a preview on the Batch Upload preview window. Here is an example:
1. Shows the file that was added.
2. Preview overview shows the columns that were in the template.
3. Example of a status.
4. Submit to proceed.
Information about this screen
Row # - Not shown in the above, but is to the left of the Name Column (so the user can re-open the CSV File to make corrections).
Name - required field.
Status - column will display any errors that occur in the template. Duplicates for example.
Address - can put just one in this column.
Work Email - required field.
Phone Number - can use one in this column.
Date of Birth - user can enter false details if they do not want to complete this.
Gender - user can enter Other, if preferred.
- There is a delete button to delete the file (returns the user to the upload page).
- Select Submit or Cancel. Cancel returns them to the upload page.
- Submit continues with the process.
This runs the upload of users/employees and creates individual employee files if no errors.
An email will be sent to allow the user to login.
If there are no errors in the upload the system validates and displays a Popup that says for example : 90 of 100 files successfully uploaded. There are two buttons - Review errors, or Return to employees.
If the upload of all users was successful, no Review errors button will display.
If they Review errors - Leaves the user on the Preview window which now shows the rows with Status error messages at the top, for the user to review and resolve.
