How to change payment dates

The Payments tab is located on the lower right of the customer profile screen. There is a payment tab for each policy. Press the arrow next to the policy period to expand. Shown here:

 

 

How to change one payment date

 

  • To change one payment, click on the date field for the payment and a calendar will pop out. Shown below.
  • Click on the new date for the payment.
  • A pop up will appear to confirm the date change.
  • Click Ok to continue.
  • An activity will be created in the activities section. The activity will be Informational, therefore will close.

 

 

How to change all payment dates 

 

  • To change all payment dates click the Actions button (3 vertical dots).  'Change All Dates' will be one option in that menu - select that. Shown below:

  • A field will appear showing the payments that have occurred or will occur, like this:

From the above visual, you can see:

  • the Paid payments are in green (would typically be the date the policy started or within 7 days of that date).
  • The Upcoming payment is in blue (15th November, here).  
  • Future payments are in yellow/orange.
  • We use the current months calendar (in this example November) to select the Future payments dates. So selecting 15 in the November calendar, selects 15th for the Future ones, as shown in the above visual.
  • You are notified that you cannot select the FIRST payment using this method, you will have to change that independently (as per the instructions at the top of this guide). First payment can only be changed by up to +7 days.
  • Click Submit. 
  • You will see the payments in the Payments section are now as expected (22nd was the Upcoming and 30th for the Future ones):

  • An activity will be created in the activities section. The activity will be Informational and will close.

Further notes to consider about Change All Dates

The day of payment is highlighted in all the remaining months of the term.

And the date is only change-able for the upcoming payment (note: it can be into other months).

When the day is changed for the upcoming payment, then it updates the day in all other months.

We limit the change to 15 days +/- from the "static date". (Static date is the date the Original payment date. Example: if the policy was arranged on the 22nd, then 22nd is the static date)

If a payment date is selected in the past then the upcoming payment is marked today, and all other payments move to whatever that day was.

Why can't I change the payment date?

 

Payment dates can only be changed + or - 15 days from the 'static date'. 

 

 

  • The first payment can be changed to a maximum of +7 days from the policy effective date.
  • Other payments (all other than the 1st payment) can be changed to a maximum of -15 OR +15 days from that original payment date (known as static date).
  • When performing a batch change (update all payment dates) the date selected cannot be less than 15 days than the current date and more than +15 days ahead. 

 

Actions Changes Conditions
When you are changing a payment frequency (example: yearly to monthly) You can now select a policy term (current or renewed) and change the payment frequency within certain conditions.

1. Yearly is the only choice selectable if a current term was chosen, it WAS paid on monthly payments AND 1 or more payments have been processed & paid. You can never switch from Yearly to Monthly, during a term, if 1 payment has already been processed(paid).         

2. Monthly or Yearly is selectable if no payments have been processed yet.                 

3. Yearly is always available even when payments have been taken and there is an outstanding balance.

 

 

Example:

 

  • The date I have quoted a customer, as a broker, is November 22nd, 2021.
  • They would like the policy to start on December 1st, 2021.
  • I am therefore able to move the first payment within 7 days of the start date (December 1st).
  • And then can change the future dated payments (January onwards), using the Change All Payments feature.
