How to change a policy

In this article we will review the process of making a change on a customer policy, in bond.  However, there is also additional information in the article : Change Policy FAQs.

  • Open customer profile in bond.

  • Click on the required policy within the policy section.

  • Select 'Change Policy' from the policy actions toolbar, on the right side of the page. Shown here: 

 

 

 

  • A new tab will open within the customers profile. The left side of the screen will ask you to confirm the Policy Term along with the Effective Date of the change. Once they are changed it will also list what changes are made and provide calculations.  The right side of the screen shows the sections of the policy that you can perform a change on (use the arrows to expand a section).
  • Click on the section to expand and make changes as required. As soon as a change is made, the left side of the screen displays warning messages as a reminder to calculate before you can proceed with the change. 
  • Select the effective date PRIOR to clicking Calculate. 
  • Review the changes and new premium for accuracy. If there is an error in the summary section, submit a ticket to Support prior to proceeding with the change.

 

In the above example:

  • We have increased the contents from $30,000 to $45,000. 
  • The additional premium is $36.00.
  • The previous premium was $400.00
  • Date shown is the effective date of the change.

 

  • Click Submit to proceed with the policy change. 
  • The transaction appears in our Payments section immediately, and that payment will be process by Credit Card overnight (as that is the payment method on the file, in this example) .

Here is an example:

 

 

 

  • An automated email is sent to the customer with their policy change documents. 
  • Informational emails show in the Activities, example here: 

  • You can view the policy documents by choosing the Policy Documents on the right hand side action bar.

Within that document the policy shows the following, as confirmation for the customer:

 

 

  • The Underwriting Icon shows the updated Underwriting Information for the risk (note that previous versions of the Underwriting Information are available by clicking on drop down menu at the top of that page).

 

Important notes:

  • If a customer is not eligible for a coverage a lockout will appear in the change policy section. The policy may need to be re-written to another insurer.
  • Policy change could potentially be referred to Underwriting. If so, an activity will remain open until the insurer has completed a review of the policy change.
  • If the policy change is future dated, bond will NOT allow further changes until the most recent change has reached its effective date.
  • The new amended monthly payments will be displayed in the payments section. The payments are NOT withdrawn until the evening of the date displayed.
  • Policy change documents are emailed to all named insureds and are located in Policy Documents icon, in the action toolbar.
  • You can add additional notes by selecting Add New in the Activities section.

 

Unable to complete request pop up

 

When you are trying to process a change you may see this error pop up:

 

 

This is a warning that the policy is in the state of Pending Cancellation and therefore no changes can be processed.

 

An example of when you might see this is if you are trying to edit the Customer address in the Customer Profile screen, using the edit pencil, shown here: 

 

 

This edit feature allows you to change the policy, but without using the Change Policy icon.  However you should not be able to perform any changes to the policy whilst it is in a Pending Cancellation state, either by registered letter or customer requested cancellation.
