Activity Tracker Report

 

You can locate the report in the insights module, under the category of Operations.  For assistance in accessing the reports in Power BI, there is an article in this Knowledge Base called Instructional Guide - Power BI Web Access. 

To fully understand the contents of the reports and the definitions or criteria that are used for each visual, please refer to the Data Dictionary.  (a copy of the Data Dictionary is also in this article knowledge base, just type in search. Also the terms used in this Activity Tracker Report are listed at the bottom for convenience).  

 

There are 3 pages to the report:

 

Quote Activities – this is summary page of QUOTE Activities that have been created in the past two years.

Policy Activities – this is a summary page of POLICY Activities that have been on policies purchased in the last two years.

Activity Details – this a detailed analysis of ALL the activities ever created for your organization, there are no dates restrictions. Button functionality allows the user to toggle between a tabular format of quote activities and policy activities.

 

 

REPORT PAGE 1 - QUOTE ACTIVITY PAGE

 

 

Instructions 

  • First use the slicers to drill down to the information you want – all these slicers represent the different criteria to choose from.

  • Choose from the drop-down options in each of the slicers to get the output that you want for the report.
  • Or if you want to see All – leave the slicers at all.
  • Activity Created Date will allow you to narrow down the time frame for Activities.  If you just want one week of data in the report, select that one week in the calendar.

 

 

 

 

Section One - Quote Activities

 

 

 

Activity Counts have 4 visuals displayed:

  • Activity Closure Rate = This is the number of activities that are closed divided by the All Activities.
  • Closing Ratio = For all of the quotes that have an activity raised, how many turn into a policy.
  • Outstanding Activities as a chart = Defined as All activities that are Open, In Progress or Waiting. Does not include Closed and Informational.  
  • Outstanding Activities as a number

Outstanding Activities Details on the right-hand side also provide a detailed description of those Outstanding Activities including the description.

If you hover your mouse over these reports, they may provide you with Information regarding the data and definitions. They are also in the Data Dictionary.

 

 

 

Section Two - Quote Activity Trends

 

 

 

  • Activity Count All) by Activity Category = This visual shows the Activities Count by Category and if you have had the Nude Platform for more than one year, it would show the previous years numbers as a comparison.  If you have not had the platform for more than one year, just the current years data will show.

 

  • Additional Trailing Days added Quote Activity Metrics by Activity Created Date (Trailing 7, 30, 60, 90, 180, 365 day view) = the light blue sections show the outstanding activities and dark blue shows the closed activities.  The Date shown is the date created.  The hours on average, to close, is indicated along the right-hand side.  (in the above example the black line shows the longest to close was 11.5 hours down to the quickest of 1.4 hours).

Select the yellow icons, for a any of the reporting periods.  

 

 

 

Section Three – Quote Activity Assigned User Metrics

 

 

 

  • Hours (Average) to Activity Closure by Alert Attention Priority, Policy Type and Activity  = shows the data by Urgency of activity based on certain factors.  In the example above, we see the following:  The activity of Quote in Progress for Home took an average of 97.3 hours to close. The activity of Quote Drop off for Renters took an average of 12.2 hours to close.
  • Hierarchy Changes Activities by Activity Assigned User, Alert Attention Priority and Status = this part of the report shows activities and assigned Users.  In the example above (which is greyed out so you cannot see the individuals name) you would see your employees name, along with how many Closed and Open (or other category if used). This allows you to view the workload of the users and see how many activities that they have dealt with or have open. Informational are NOT included as they are not open or closed in bond, they are just for information.
  • Activity Assignment User Metrics = this looks per individual, their closing ratio on average. You would see your users’ names at the bottom.  So, for the number of Activities raised you will see that users Closing Ratio of the Activities that are raised, along with the number of Hours to close that Activity.  Unassigned still appear here. 

 

 

 

 

 

 

REPORT PAGE 2 - POLICY ACTIVITY 

 

The reports is used the same as the Quote Activities, but for Policy Activity.

 

Additional Trailing Days added

 

 

The differences/additions for this report, from the Quote Activities are:

 

  • On the Activity Metrics visual, there is an Outstanding Activities Proportion report (instead of Closing Ratio on the Quote Activity page).  Shown here (test data):

 

 

  • So in the example above there is 1.27% of the total number of Activities with the classification of Outstanding. (Open, Waiting or In Progress)

There is In Progress Activity category in this page.

 

There is additional feature section on this report for Policy Activities called:  Additional Activities. Informational Activities do show in this page of the report. Shown here:

 

 

  • Activity Count by Category Section = these reports will include activities that are customized by the user but have certain words included in the description.

REPORT PAGE 3 - ACTIVITY DETAILS PAGE 

 

This final page of the report is for a granular insight of the Activities.

 

See in the below image that the report title shows the report is in your local time and the reports is for ALL policies, quotes and activities for the years that you have been using the platform.

 

 

As highlighted in green, in the above image, first select the type of activity:

 

Policy Activities (purple box)

Quote Activities (orange box)

 

Then use the slicers to drill down to the information that you would like to review.  

 

 

New Slicers added

 

We have added new slicers to this page of the report (released in November 2021):

 

Activity Due Date 

and 

Activity Assigned User

 

  • Activity Due Date drop down slicer added (both quote and policy display).
    • ‘(Blank)’ option on this slicer indicates that no activity due date was input by the broker

 

 

  • Activity Assigned User drop down slicer added (both quote and policy display)
    • Previously only available on the quote display only.

General Report Information Tips

 

  • the heading of the report provides an outline of the criteria used to create the report.  So, for this report the Date and Time is in your Local Time and the Quotes and Activities created are for the current and prior year only.  Example here:

  • If you hover your mouse over PARTS of these reports, they may provide you with Information regarding the data and definitions. They are also in the Data Dictionary.
  • You can hover over most parts of the visuals in the reports and a grey menu will appear with options including Export, which allows you to export the results elsewhere. 
  • The Data Dictionary should be used to understand the definition of some of the terms in the reports, but also to understand what data is included (or excluded).
