In this article we will show the following:
- What a referral partner receives and what their experience is once you have set them up in podium.
- Emails following certain request being set up (notifications, RECA compliance etc. )
- Setting up a referral partner with no referral fees.
- Vouchers for customers referred.
- How to see what transactions are paid to a partner.
They will receive an email to confirm that they are set up in podium as a referral partner.

They are then asked to Activate and set up their own account, where they can view and access their referrals, along with some admin settings.
After clicking on the Account Setup button as shown above, they will be taken to this screen:
They are then provided with an account, which looks similar to this, depending on what their referral type is (payments would not show, for example, if they are not paid to refer).

Contacts - This shows the Primary Contact details that you filled in when setting up the partner referral.
Codes - This section would show any codes that you have set up for that partner referral. This would provide a list of all of them if there was more than one, or for more than one type of policy.
Payments - This shows the partner what payments have been made to them, for their referrals (if applicable) It also shows:
- The date the payment was made.
- Description of that payment (perhaps: Referral payment March 2021)
- $ amount
- Method of how the payment will be made (eg: Cheque, EFT)
- Status of the payment
Here is an example of what they would see:
Transactions - This section shows what transactions exist and linked to those codes. It would show all those that have bought a policy and used a specific code.

Here is a screenshot of what that looks like:
As you can see from the above image this section allows the referral partner to administer certain parts of their account.
Mailing Address – the user can update their address, all linked to the Canada Post address search. They can also input Additional Address Information – this section is free type so that can be used for any purpose. An address change would create an Activity for your organization.
Banking Information – the user can update or change their Bank Account details. An activity would also be created.
Reset Password – the referral partner can easily reset their password. They need to use their current one to reset it and can then input their chosen new password.
You can set up notifications for the partner and they will then get emails, depending on what the settings were. So if the partner is not receiving notifications, firstly go to this part in podium and ensure the correct ones are chosen.
When a policy is sold using a code and the notifications are set to Yes, the referral partner will receive an email that looks like this:
If the referral partnership set up in podium is based on the question "Payee Type = Business', then the emails that are sent will go to the individual contacts. Here is an example of what this means:
If we continue with the above example, here is what Chris Contact will receive in different scenarios:
This email goes to Chris, (the contact at the referral partner), to confirm a code has been allocated to him:
A customer has used the code and arranged a policy, so the referral partner will receive an email like this each time. Note that there is a waiting period advised to them, to ensure it isn't cancelled by the customer within that time. The email also shows which code that was used.
This is the email that the contact at the referral partner will receive, where they are set up to receive notifications for New Policies. Proof of insurance is attached.
Here is a copy of the email that the referral partner gets, when they are governed by RECA and therefore require a consent form from customers. If the set up for the partner has RECA selected under Compliance type (Alberta Real Estate only), then this is what they will get:
If you are setting up a partner where you are not making any payment for their referrals, the partner account that they log into will look like this:
In the above image you can see that the account differs for them as they will not see the payment which they receive for their referrals (as they are not getting any), but they do see a Codes section which tracks their leads.
Under each of the Product types columns (Tenants, Condo, R Home, Home) there will be an indicator to show how many quoted and how many policies were arranged. For example, if 1 policy was quoted and 1 was (sold) the indicator would show 1/1. Here is an example:
In the profile of the referral partner, in podium, you can see the Transactions section to view the transactions that are applicable for that partner, example here:
In the above example we can see the contact for code TEST10 is Chris Test and in September his code was used on 2 policies and he will get $10 for each of them.
On the 1st of the next month, the payments will get generated and then released to the partner on or around the 5th. Please note that like bond payments, referral payments also take 3-5 business days to clear by the bank.
The paid ones will then show in the Payments section in podium, example here:
If you have your platform set up so that you pay your customers vouchers, when they arrange a new policy, they will still receive those but with a mention of the referral partner.
