Batch update function in admin - bond Policy Roles
This function will allow you to do a batch update to roles or permissions of many users without having to enter it individually in each profile. So, for example, if you wanted to add an insurance broker and a CSR to each customer in bond, so that if that customer calls anyone can tell who deals with that policy, you can update it here in a batch update instead of going into each policy. Adding a Role is required for commission to be paid to an employee.
- From admin module, select Employee Setup.
- Then select the Batch Update tab, shown below:
- And bond Policy Roles
- You will asked to complete the following fields, the content of those fields will vary, depending on how you have your roles or permissions set up.
Where = Where is this going to update in the platform? (this field may be greyed out, indicating this is the only option at this time)
Field = Do you want to batch update the Employees or another field (this field may be greyed out, indicating this is the only option at this time) or may only have Employees option.
Role Name = What Role do you want to update? eg: If the reason for your Batch Update is to add an Insurance Broker/Advisor to your customer screens in bond, choose that.
Action = Add, Replace with or Remove. Choose what action you want this Batch Update to take. Add would be for adding an Employee to the bond Role, Replace with means you are replacing whatever is currently set as that role (OR if the field is currently blank). The Current Employee in bond Role field will require you to specify who is currently in the Role and putting another employee in the New Employee section. You are REPLACING Employee X with Employee Y. Remove is for removing an employee from a specific Role in bond. You cannot add two employees into a single Role.
Current Employee in bond Role = Choose who is in a Role currently and select them. This field is only available if you picked Remove or Replace with in the Actions field.
New Employee = This is who you want to apply the Role to. The field is only available if you picked Add or Replace with in Actions field. They have to be Active in the Employee Setup field to be able to be selected here.
Lines of Business/ Policy Groups/Policy Item Types = Allows you to be granular, if required, on where the Role takes effect.
You can filter when updating Roles so you can taylor which employees service which kinds of policies. You can filter by : Lines of Business, Policy Group, Policy Type.
As you select each filter the next one will only display what is tied to that Line of Business or Policy Group ie: Select Personal, Personal Property, then the Policy Types will only be ones that are tied to Personal Property. If you only select Policy Group the Line of Business will autofill (the reverse happens if you remove one).
If you only select Policy Type the Policy Group and Line of Business will autofill (the reverse happens if you remove one).
Individual Last Name / Business Name - Starts With = Another granular field if you would like the change to applied on policies with a specific letter or letter range. So if you have broker that deal with customers based on Alpha Split.
Policy Effective Date Starts on (optional) = the Batch Update will only occur on policies with a start date of this. So if you change that field date to May 1st 2021, the Batch update will apply to all Policy Effective after that date. This could be useful if you have a new employee and they are dealing with all new policies. You can pick a date that has pasted if you want it to be applied on policies that were Effective before today.
There is also a Preview option for you, so that you can see what or where this update will take effect. This can be important if you are looking to update a lot of files, roles or users. Here is an image of the Batch Update - bond Policy Roles screen with the Preview button.
Another use for this feature is if you had an employee leave. Come to this Batch Update facility and Replace the Current Employee for the New Employee as shown in the image above. This would allow you change multiple customer policies without individual input. The above image shows that scenario.

Where you see this option, you can use the button to export a report for use externally.
